1. Agreement to Terms
You, the individual using ApplyPilot (referred to as "Client," "you," or "your"), in exchange for services provided by ApplyPilot ("ApplyPilot," "we," "our," or "us") agree to the following terms and conditions ("Terms").
These Terms create a binding agreement between you and ApplyPilot and govern any and all services provided to you through our platform, whether through our website, mobile applications, or any other means ("Services"). Please read these Terms carefully before purchasing or receiving any Service.
By creating an account, making a purchase, or using our Services, you acknowledge that you have read and understand these Terms and agree to be bound by them. These Terms affect your legal rights and obligations. If you do not agree to these Terms, do not use our Services.
2. No Guarantee of Employment
ApplyPilot's users have achieved notable success in securing employment and progressing in their careers. However, it's important to understand that ApplyPilot does not provide a guarantee of job placement, interviews, or promotion as an outcome of utilizing our services.
The dynamics of the job market lie beyond our control. While we provide tools to help you create better applications, your success ultimately depends on factors including but not limited to:
- Your qualifications, skills, and experience
- Market conditions and job availability
- Employer preferences and hiring decisions
- Your persistence, attitude, and effort in your job search
- The accuracy of information you provide
NO VERBAL OR WRITTEN PROMISE OR GUARANTEE OF ANY JOB, INTERVIEW, OR EMPLOYMENT IS MADE OR IMPLIED UNDER THESE TERMS.
3. Description of Services
ApplyPilot provides AI-powered tools and services to assist with job applications, including:
- Resume generation and tailoring
- Cover letter generation
- ATS compatibility analysis and scoring
- Job application tracking
- Profile management
These Services are designed to be a collaborative effort between you and our platform. You commit to actively participating and providing accurate information to yield optimal results. Without your active involvement, the outcomes may not align with your expectations.
4. Account Registration
To use our Services, you must create an account. You represent and warrant that:
- All registration information you submit is true and accurate
- You will maintain the accuracy of such information
- You are at least 16 years of age
- You will not share your account credentials with others or allow unauthorized access
- You will not create multiple accounts to circumvent usage limits
- You will not use automated means to access the Services without permission
Your account is personal and non-transferable. Sharing your account credentials with others is strictly prohibited and may result in suspension or termination of your account without refund.
5. Subscriptions and Payment
One-Time Payments: If you purchase services via a one-time payment, the entire fee is collected prior to the commencement of service provision.
Subscription Plans: If you subscribe to a recurring plan, you agree to automatic renewal at the end of each billing period unless you cancel before the renewal date. You can cancel your subscription at any time from your account settings.
Payment Plans: If you opt to purchase through a payment plan, the recurring payments represent scheduled installment payments covering the total cost of services. Once committed to a payment plan, you cannot terminate or cancel the plan prematurely.
All payments are processed through secure third-party payment processors (such as Stripe). Please review their terms and conditions for payment-specific policies.
6. Refund Policy
At ApplyPilot, our commitment is to deliver quality services tailored to each individual user. It's important to acknowledge that refunds for ApplyPilot services are generally not provided, as all transactions are considered final.
Our fees contribute to the development of AI-powered document generation, personalized analysis, server infrastructure, and ongoing platform improvements. These elements involve substantial time and resource investment which cannot be recovered.
While purchased services are non-refundable, you have the following options:
- Pause Services: You may temporarily pause your subscription for up to 30 days by contacting support
- Cancel Future Payments: You may cancel your subscription at any time to prevent future charges. You will retain access until the end of your current billing period

7. Your Content and Responsibility
Ownership: You retain ownership of any content you submit to ApplyPilot, including your resume information, work history, and personal data ("User Content").
License to Us: By submitting User Content, you grant us a limited license to use, process, and store your content solely to provide the Services. We do not use your personal content to train our AI models.
Your Responsibilities:
- You are solely responsible for the accuracy and completeness of information you provide, including your resume, work history, and personal background
- You must review all AI-generated content for accuracy before using it in applications
- You are responsible for ensuring your final documents are truthful and do not contain false claims or credentials
- We do not verify the accuracy of information provided by users
ApplyPilot is not liable for any damage caused by omissions, false statements, or inaccuracies in your content or in AI-generated content that you choose to use.
8. AI-Generated Content
ApplyPilot uses artificial intelligence to help generate resume content, cover letters, and other materials. You understand and acknowledge that:
- AI-generated content may contain errors, inaccuracies, or suggestions that don't accurately reflect your experience
- You are responsible for reviewing, editing, and verifying all generated content before use
- Generated content should be used as a starting point, not a final product
- Any reliance on AI-generated content is solely at your own discretion and risk
9. Service Validity and Data Retention
Service Validity: Purchased credits or one-time services are valid for up to 12 months from the date of purchase unless otherwise specified.
Data Retention: ApplyPilot retains your service documents and generated content for up to 12 months following delivery. It is your responsibility to download any materials for your future reference. ApplyPilot cannot be held responsible for any loss of documents after this period.
Upon account deletion, your data will be removed within 30 days except where retention is required by law.
10. Acceptable Use
You agree not to use ApplyPilot to:
- Violate any applicable laws or regulations
- Create content that is false, fraudulent, or misleading
- Impersonate another person or misrepresent your qualifications
- Attempt to reverse engineer, decompile, or extract AI prompts or model weights
- Interfere with or disrupt the Services
- Use automated means to access the Services without permission
- Resell or redistribute the Services without authorization
- Share your account with others

11. Intellectual Property
Our IP: ApplyPilot, including its design, features, AI models, and underlying technology, is owned by ApplyPilot and protected by intellectual property laws. You may not copy, modify, or create derivative works from the Services.
Your Content: You retain all rights to the factual information about your career history. The specific formatting, phrasing, and presentation generated by our AI tools may be used freely by you for your job search purposes.
12. Limitation of Liability
ApplyPilot shall not be held liable for any direct, indirect, incidental, consequential, or special damages arising from or in connection with the use of our services. This includes, but is not limited to:
- Loss of data or documents
- Loss of job opportunities or employment
- Any losses resulting from advice, information, or recommendations provided through our services
- Decisions you make based on AI-generated content
To the maximum extent permitted by law, our total liability for any claims arising from these Terms or your use of the Services shall not exceed the amount you paid us in the 12 months preceding the claim.
13. Indemnification
You agree to indemnify, defend, and hold ApplyPilot and its officers, employees, and agents harmless from any claims, damages, liabilities, and expenses (including reasonable attorneys' fees) arising from:
- Your use of our Services
- Your violation of these Terms
- Any content you submit that is false or misleading
- Your violation of any third party's rights
14. Termination
ApplyPilot reserves the right to refuse service, terminate accounts, or cancel orders at our sole discretion. We may terminate or suspend your account immediately, without prior notice, for conduct that we believe:
- Violates these Terms
- Is harmful to other users or the Services
- Involves fraudulent or illegal activity
- Exposes us to legal liability
Upon termination, your right to use the Services ceases immediately. ApplyPilot is under no obligation to provide a refund upon termination for cause.
15. Disclaimer of Warranties
THE SERVICES ARE PROVIDED ON AN "AS IS" AND "AS AVAILABLE" BASIS. APPLYPILOT DISCLAIMS ALL WARRANTIES OF ANY KIND, INCLUDING BUT NOT LIMITED TO ANY EXPRESS WARRANTIES, STATUTORY WARRANTIES, AND ANY IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.
We do not warrant that the Services will be uninterrupted, error-free, or that any defects will be corrected. Your sole remedy for dissatisfaction with the Services is to stop using them.
16. Governing Law
This Agreement shall be governed by and construed in accordance with applicable laws, without regard to conflict of laws principles. Any controversy or claim relating to these Terms shall be resolved through binding arbitration. You agree to submit to the jurisdiction of the courts for any matters not subject to arbitration.
17. Changes to Terms
ApplyPilot reserves the right to modify these Terms at any time. We will notify users of material changes via email or through the Services. Your continued use of the Services after changes constitutes acceptance of the updated Terms.
18. Severability
If any provision of these Terms is found to be unenforceable or invalid, that provision shall be limited or eliminated to the minimum extent necessary so that these Terms will otherwise remain in full force and effect.
19. Entire Agreement
These Terms constitute the entire agreement between you and ApplyPilot regarding the subject matter hereof and supersede any prior agreements or understandings, whether written or oral. Any rights not expressly granted herein are reserved by ApplyPilot.
