How to Build an ATS-Friendly Resume

Before a human ever sees your resume, it likely passes through an ATS. These systems parse your resume, extract information, and rank candidates based on keywords and criteria. If your resume isn't ATS-friendly, it might never reach a human reviewer — no matter how qualified you are.

Best Practices

Use standard section headers

Stick to common headers like 'Experience', 'Education', 'Skills'. Avoid creative alternatives like 'My Journey' that ATS might not recognize.

Keep formatting simple

Use a single-column layout. Avoid tables, columns, text boxes, and graphics that can confuse ATS parsers.

Include relevant keywords

Mirror language from the job description. If they say 'project management', use that exact phrase rather than synonyms.

Use standard fonts

Stick to Arial, Calibri, Helvetica, or Times New Roman. Unusual fonts may not render correctly.

Save as PDF or DOCX

Most ATS handle both formats well. Check the job posting for specific requirements.

Quantify achievements

Use numbers and metrics: 'Increased sales by 25%' is more impactful than 'Improved sales performance'.

Common Mistakes to Avoid

Using headers and footers

ATS often can't read content in headers/footers. Put your contact info in the main body.

Fancy formatting and graphics

Columns, tables, images, and icons can completely break ATS parsing.

Submitting as image/scanned PDF

ATS can't read images. Always use a text-based PDF or DOCX.

Using abbreviations without full terms

Write 'Search Engine Optimization (SEO)' at least once — ATS might search for either.

Listing skills without context

Don't just list 'Excel'. Show how you used it: 'Created Excel dashboards tracking $2M budget'.
